My answering machine won't pick up to external callers

Hello, I have set up my voice messages but when an someone calls my extension, the operator message comes on asking if the caller would like to be directed to a different extension or to speak with our operator. The caller doesn't hear my voice message and simply gets the message instead. How can I set it up so it gets activated and so that callers can leave me messages? Thanks! Also - my voicemail lady speaks french. I'd like to switch her to english. How?

A couple of things, but first. When you TRANSFER a call to your boss using the transfer button, he key to getting rid of the call is to hang up. But that's not your problem. When we install voice mail systems, we reserve 3 buttons; one for VM TRANSFER, one for 2 WAY TRANSFER, and one for VM RECORD. Pdf page 170 will give you the table for setting up your 94,91 and 90 codes for the above features.
Basically, you press PROGRAM, the button, and dial, for example, 94 500 SAVE to store the VMT . You use it by pressing that button while you on the call (no hold) and either dial your boss' extension or press his DSS button. If you use the 2-way transfer, you can actually put his number under one button and carry on a 2-way conversation with the outside party. Kind of like you would do with the old 'pink slip' messages.

Haven't you solved this yet? When we install a system, we reserve THREE buttons for voice mail functions. One is VM Transfer, one is 2 Way Transfer, and one is VM Record. In order you pick 3 buttons press PROGRAM one of the buttons and dial in order 94 500 STORE 01 500 STORE and 90 500 STORE, assuming your voice mail is on the default extension of 500. To send a call to someone's voice mail you press VMT and his DSS button or dial his extension and hang up. The outside party will get all of his greeting. If you want to prompt the user, like you would if you were taking a pink slip, you press 2W Transfer and his extension and carry on a conversation with the outside party. The message records in their mailbox as a new message. If you want to silently record into your OWN box, you press the VM Record button and your conversation is recorded into your own box as a new or old message, depending on how the system is set up.

There are other variations, including a single button transfer into someone's mailbox and some other features that are covered in you telephone sytsem OM or User's manual under Customizing your phone.

Deleting messages (memory may be full).

Verify you do not have old messages on the the system. After the system plays all new messages, press Play/Stop again or from the handset Select 2:Play.If you find messages, delete them during or after they play.

After you listen to your messages, the voice message icon turns off. If it doesn't or if you can not receive messages, you should try to reset it: With the phone in standby, open the menu and select Global Setup; select VMWI Reset, then select Yes.

Make sure the Record Time is not set to Announce Only.

The F/T Mode is used to allow the fax machine and the telephones to share the same telephone line. When a call comes in, the fax machine and all extension telephones on that line will ring according to the number of rings you have set for the Ring Delay.
When the Ring Delay is completed, the fax machine will answer the call and determine if it is a fax call or a telephone (voice) call.
The fax machine can determine this by the signal it is receiving on the telephone line. If someone is sending a fax automatically , the sending fax machine will transmit a fax tone (a series of beeps every 3 seconds).
If your fax machine hears these tones, it will receive the fax.

If the fax machine does not hear any fax tones, it assumes it is a telephone (voice) call and will begin ringing the F/T ring tones (double ring) for the length of time you selected for the F/T Ring Time. These tones will only ring on the fax machine's handset (extension or external phones will not ring). At the end of the F/T ring time the fax machine will go into the receive mode in order to receive a manual fax.
(If the call was a voice call and was not answered, the caller will hear the fax receive tones also).
  • If you answer the call before the fax machine(during the ring delay period) and determine it is a fax, you can transfer the fax to the fax machine for receiving.

  • If you answer the call on an "extension" phone and hear a beep every 3 seconds (automatic fax) or silence (manual fax), press *51 or *91 for New Zealand (remote activation code) on the telephone keypad, wait to hear the fax machine turn on (chirping sounds) and then hang up.

  • If you answer on the handset of the fax machine and hear a beep every 3 seconds or silence, press the Fax Start or Start/Copy key on the control panel of the fax machine and then hang up the handset.

  • If you answer a call on an "extension" phone during the F/T Ring Time, you will hear the F/T ring tones.
    To release the call from the fax machine, press #51 or #91 for New Zealand (remote deactivation code) on the telephone keypad and you can speak to the calling party.

  • If you pick up the handset of the fax machine during the F/T ring time, you may talk to the calling party immediately.

How do I send a call to internal voice mail?

Use feature 986 (transfer to VM) then enter in the co-workers extension number. That will bypass the extension and send the caller directly to his voicemail.

Program "Do not disturb" on business phone

It's pretty straightforward. You pick a spare button, dial FEAT 00 press the blank button (with a light) and press FEAT 01. There are considerations that I'll reproduce here.

Do Not Disturb (F01) 8
Use this feature to be able to press a programmed button to prevent incoming calls for the
extension from ringing (lights still flash). When Do Not Disturb is on, outside callers hear ringing
while inside callers hear a busy signal. You should use Do Not Disturb only if someone answers
outside calls for your extension when you do not answer them.
Considerations 8
Do Not Disturb is available only on system telephones.
Do Not Disturb requires a button with lights. When the Do Not Disturb feature is on, the light
is also on, indicating that the telephone will not ring.
■ Use Do Not Disturb when you do not want the auto attendant or the voice messaging system
to transfer calls to you.
■ Use Do Not Disturb if you are assigned to a Hunt Group and you leave your desk, so calls to
the Hunt Group will skip your extension and ring immediately at the next available extension
in the group.
■ To avoid missing calls when Do Not Disturb is not needed, turn it off.
■ If Do Not Disturb is active at a doorphone alert extension, the person at the doorphone hears
signaling, but the alert extension is not signaled.
■ Unanswered calls that are transferred from an extension with Do Not Disturb active ring at
that extension if they transfer return.
■ Extensions with Do Not Disturb activated do not receive Caller ID information, unless the call
is answered.
■ Users with Automatic VMS Cover Assigned or with VMS Cover turned on can activate Do
Not Disturb
to Send All Calls immediately to their voice mailbox.
■ Users with Call Coverage turned on can activate Do Not Disturb to Send All Calls
immediately to the covering extension.
■ You cannot use Call Screening (F25) when Do Not Disturb is turned on.

Line rings does not fo to voice mail

The call forwarding was canceled; try this
1. pick up handset or press speaker
2. dial the code for call fwd busy/ no answer (default code is 744)
or press the forward function key
3. dial 1
4. dial the extension (lead number of your voice mail)
5. press speaker or hang up

Talking on phone,someone calls in & leaves message, can't locate

Thanks for the opportunity to help with your problem. If you also have voice mail through your phone service provider, it's possible that while you are on the phone, the incoming call is "waiting" (meaning you are hearing a beep while you are still talking assuming you have call waiting). If you don't pick up the incoming call, your caller will hear your "voice mail" message and leave a message. However, your answering machine will not indicate that you have a message.
