This is on a network and we have preconfigured email addresses in the Printer. Normally, we press the email address the document is going to and then scan and the printer emails the document to the address. Currently, once we hit the start button to scan to email, an error message appears that says the job has been done improperly. We have turned the machine off and on, but we are still unable to scan to email, we continually get the same error message over and over.
Scan to email can only be setup to work on a internal email server if the email server is external it will not work. also make sure you input the admin email address and the from email address when configuing the machine

U can store all the users emails on address books. Then when u want to perform scan to email, just press the email button on the particular to add, re-press again to remove.

1) If you're actually scanning to an email address, make sure your SMTP email server information in the copier's web page is correct.
If you are using names instead of IP addresses, also make sure your DNS server IP's are correct.
2) If you're scanning to create the fake email set up by Sharp Network Scanner tool, the connection info in your copier is old and needs to be refreshed.
From the computer you're trying to scan to, right click on the Network Scanner Tool icon in the tray, go to Automatic Profile Update, and select Update Now. If you have no tray icon, reboot your computer.
If your copier is set up to store names instead of IP addresses, make sure your DNS information is correct in the web page.
Can you print to your PC? if yes you know how to assign ip address to the copier. I suggest is to go web browser and type the ip adress of the copier. log in to adminstrator the password 12345678 click network scan you have choices which scanning you want. SMB, ftp scan to email. If choose SMB first you have create Folder to your desktop and name it SMB all upper case and right click sharing and permit everyone . Then back to copier web browser click tab scan and type all the names you want. Scan to e-mail you have to click network and enable the scan to email enter the SMTP leave the port 25 do not change assign a valid email address to copier and enter email address of the administrator user id and the last is the pasword. Note: everytime you visit this page you should enter the password. then click the scn tab and enter all your email address. enjoyprograming!!!
If the scanner has not been configured, or network settings have changed, the setup for scanning on this unit is unfortunately quite difficult for a novice. the manuals are readily available at Ricoh.com, under Downloads, but this will not help very much with the scanner config.
login to the copiers web interface (the ip address of the printer ex: 192.168.XX.XX) you will see Network Scanning. Here you can change all the scanning e-mail options.
The scanning is based on scanning to email. It isn't really controlled from the computer like a typical scanner is. The settings are all on the panel of the device. They are resolution, Contrast, and Doc Type. From there, you have to configure the machine t send the scanned image to an email address. The email address requires that you have the device setup for email with a network address, smtp server, etc.
Since this is a network printer, you can scan to folder,FTP site or email. alot will depend on your network enviroment. SMB is the simplest. The folder you are scanning to need permission to write to the folder. If you have email you need to enter your smtp server IP address in the user tools and an senders email address. the manuals with the copier will help or download them.
