Recording messages There is a generic message that comes on if an outside call comes in and the "night" button is on. I want to change this message and instruct the caller on how to leave a voice mail message.

Sorry, the phone is a Panasonic KX-T7633. Is there a complete manual available for this phone, or just the Quick Reference Guide?

You are asking about changing you voice mail and phone system settings. Your phone can work on several different Panasonic phone systems and you could have different voice mail systems as well.

The phone KX-T7633 has only a user guide that covers the basic features of the phone itself. You need a programming and installation manual for your phone system AND your voice mail. They are not the same part and have different manuals.

So, your first step is to find out the model number of your phone system and voice mail system.

How do change the outgoing "Night Mode" message in the Voice Mail System on NEC Electra Elite DTU 32D-1?

If you are using an Active Voice product (typical w/ NEC) you need to change the hours of operation on the voice mail system. "Night Mode" only changes the ringing characteristics of the phone system and where calls ring, not the greetings that play on the voice mail. The voice mail plays a particular greeting (Day/Night/Holiday) based on the time of day specified in the schedule. The system administrator for the voice mail would have to make this change.

Changing main voicemail message

This may be specific for my system, but hopefully it helps:

Connect to your voicemail (for us, we can either hit the voicemail button or dial 1650)

Once in, press #6, it will ask for a mailbox number, dial *9998, it will ask for a password (the default is 1234#)

Press 5 to modify messages.

Press 3 to record custom service menus.

It will ask you to pick which menu (1-100). Our day menu is 1, and night is 2. I'm guessing yours will be the same.

From this point, it becomes the same as recording a standard voicemail greeting. It will play the current greeting and you can press 1 to re-record it. Do so, and then press #. Press 2 to accept and you're done!

Change voice mail message

Step 1 Compose your message ahead of time. If not, you may end up stumbling, looking for the right words while you are recording your message or leaving out some important details. Composing your message before you begin recording will save you from having to record several messages before you find one with which you are satisfied.
  • Step 2 Make it easy for your callers to listen your message. Record your message in a relatively quiet room without background noise. Speak loudly and clearly. For the benefit of callers who don't have much time, make your message as brief and to the point as possible.
  • Step 3 Begin the recording process by first locating the "Change" button on your answering machine. This button initializes the answering machine for adjustments to the settings of the various features.
  • Step 4 Locate the microphone on your answering machine and lean towards it until you are about nine inches away.
  • Step 5 Locate the "Annc" button. Press and hold the "Annc" button until it beeps. Begin recording your message.
  • Step 6 Watch the message window while you are recording your message. It keeps track of how much time has elapsed since you began recording. You can record a message that is up to three minutes long.
  • Step 7 Locate the "Stop" button and press it when you have finished recording your message. The answering machine will play your message back at this point. If you are not satisfied with your message, repeat the steps to record it again.
  • Step 8 Press "Annc" if you want to listen to your message again

    Selecting a custom recording.

I was told that the day and night settings in the local applications must be the same. It is in your night call routing table that you need to place the extension in order for the system to know which recording to play when. Then, your system will play the application when it is set in night mode. Hint: When you place the extension in the call routing tables make sure the extension is placed ABOVE the +ALL CALLS line, if applicable, and your ring-in-destination is set to your appropriate application recording. I hope this helps.
