There is a small utility called dssclean, which can fix these files for you. Check with your Olympus Pro dealer, as they should be able to provide that for you.
Files usually get this way when a computer or the Transcription Module crashed while a file is open. The system doesn't get a chance to close the file and it remains in "typing mode."
The other, more readily available work around, is to select the file in the Transcription Module, then go to File > Convert File and convert it to a WAV file (it actually only makes a copy of the file). You can then transcribe the WAV file and delete the locked file.

try reinstalling the software. And as for the foot pedals, take a good look at them and see if anything's wrong. If you don't find anything then plug it in and out a couple of times and make sure it's snug. For the phone, i suggest you buy a telerecorder. There about 5.35 and you plug into the microphone jack of your recorder and make sure to press record before each conversation on the phone. So far, that's all i can muster up.

I've seen this problem a few times on various operating systems. The problem was a result of a conflicting application running during installation. In my last scenario, F.T.R (For the Record) was causing this error to appear. Upon exiting the FTP process in the Task Manager, I was able to install the Olympus DSS Player Pro Release 5.0.9 with no problem.

Could it be that the files are just being regularly accessed by one of the server admin tools and the DSS Player application interprets an open file as 'being transcribed'
