The volume is so low I can barely hear the dictation. The volume on the machine is turned up to maximum, as is the volume on my computer, but I still cannot hear it. I think there is a button on the device itself that may need to be activated, as sometimes it's very loud and then sometimes it drops down to barely audible again.

It could be that the maximum volume limit has been switched on too low. Go to settings then playback and then volume limit, the volume control shows the maximum volume it has been set to. Use the click wheel to select your maximum volume and then press the centre button to set the limit. Then choose done. Hope this helps.
I'm not sure that this will help but try turning up the mic volume in the computer's sound mixer. Have you charged the BW900's batteries? Can you adjust the mic volume knob in the base unit? Review the base and headset button descriptions in the owners manual/instructions book. Make sure you have selected the BW900 headset and NOT an office phone headset. Also check the headset to make sure you have not selected the mic mute function from the "multi switch". You can also reset the unit back to the factory default settings by re-pairing the unit, again read the manual for instructions on how to reset the system. Just some thoughts......

look on the lower right corner of your screen. there should be a volume icon down there. it looks like a speaker. click that and see if it is set up or down low. if it is low turn it up then it should work. this controls the amount of sound coming out of the sound card on your computer.
I had the same problem and found the root cause to be the RF speaker connector at the back of the subwoofer. The male and female connectors are OK. It is the 5 male pins inside the connector and the way they connect to the female holes that is the problem. Wiggle the RF speker connector as you move it in and out until you get 100% of audio voilume back. Once you get it back, do not move the connector. Have not found a permanent solution to date beyond this.
Make sure you volume is up on the actual operating system. The volume is by the lock double click on it and turn it up.
The player you are playing your music with make sure its volume is turned up as well.
