Dial your extension. Wait for the greeting to say that you are at your
voice mailbox. This is also the "Quick Voice Mail Tutorial Set Up."
Follow the instructions provided in the tutorial. You will be asked to
enter your name (or company name), password and greeting. Write down the
password and keep it in a safe place.
Record other greetings, if needed. After the tutorial, you have an
option to add different messages for different situations. Press "311"
to change your general greeting. Use "312" to record a message for when
the line is busy. Dial "315" to record a temporary greeting for when you
are away for an extended period of time, such as vacation.

The Voice Mail feature is set by your phone company, not by the phone. Typically the phone company will set it for 20 seconds, or approximately 4 rings. This is called your voice mail "Ring Cycle"
Call them up (the customer service number should be on your phone bill) and they should be able to increase or decrease your ring cycle for you at no charge.
Maybe u should "replace"or save as a new name for the caller's number. Please refer to the manual page 5-6 for how to storing the caller's information.
If this is a Panasonic KXTDA50, 100 or 200 it must be done from the programming phone normally ext. 101.

Letters are entered just like a cell using the keypad, press enter when done and you can go to the next name. When finished press the exit button a few times to back all the way out.
From the main phone or manager phone default ext. 101 enter prog, *#1234. Then dial program code 000, select enter, Use the up down pad to move the cursor enter your time and date select enter when finished. Then Exit on the screen .
If you can not log into the programing tool to change it that way then you will still need the Installer password. However from the main ext typically the first ext or 101
