Problem 2. On the main line, although when I press 500 to retrieve voice messages I can hear the greeting I recorded, if the phone rings unanswered it diverts to another phone, and if that is unanswered it goes to another old recorded message by a previous member of staff. So I think the newest greeting I recorded doesn't actually get heard at all. We can't find out how to solve this and I'm afraid the manual has been of no help whatsoever

The KX-T7456 is a proprietary system phone. You have a Panasonic phone system and a voice mail, both separate items with their own part number. Your phone can work on several different systems and use different voice mail so your first step is to determine the part numbers from the system and voice mail. Then you will need a "programming" manual or possibly "administrator's manual" NOT a "user guide" for at least your voice mail and maybe for the system as well.

Let's pretend that this is a TA-824 system with DISA and it's answering all phone calls. It's not likely that you can do much of anything unless you know what system the phone is connected to and have the manual and ability to do programming. With a bit of reprogramming, you can make the system perform like a regular system.
I'd suggest a call to the Panasonic service company.

All Types of Phones
1. Your mailbox number will be the same as your extension number.
2. Default password is 1 2 3 4
3. Voicemail group number is 555 (unless programmed differently)
Before callers can leave voicemail messages you must activate your mailbox and record your greeting message. We would suggest something along the lines of
"You are through to the voicemail of . . . . I am sorry I am unable to take your call at the moment but please leave a message after the tone and I shall get back to you "
To Record Your Greeting Message
1. Dial the voicemail group number (usually 555)
2. Enter your password (default is 1234)
3. Keep pressing 3 to scroll to greeting messages
4. Press 8 to toggle between your two greeting messages
5. Press 0 to change the message and follow the instructions.
To leave voicemail just press 'Release' or hang up.
Responding to Voicemail
On a display phone you will see "You have messages" on the top line and "Display messages?" on the bottom line. Press tick twice to go to voicemail and then enter your password.
On Siemens 'Entry' phone or display phones with a 'voicemail' button, just press this button and enter password when asked.
On ordinary analogue phones you will get broken dial tone. Dial the voicemail group number (usually 555) and enter password.
In all cases you will then be able to listen to your messages.
To delete a message press 0. It will ask you to confirm by pressing 0 again.
Check your Voicemail
Just in case anyone still has difficulty in finding the instructions.....
Set Up your VoicemailBefore your phone can receive voicemail messages, you must set up a 4-10 digit passcode and record a personal voicemail greeting. When you have set up your voicemail, all unanswered calls to your phone are automatically transferred to voicemail, even if your phone is in use or turned off.1. Press and hold the 1 key.2. Follow the system prompts to create a password and record a greeting.
Best of luck!!
When you receive a voicemail message, a
notification with a voicemail message icon
appears at the top of your screen.
• At the voicemail notification, select Call to call
your voicemail number and follow the system
prompts to retrieve the message.
Select Ignore to clear the notification without
checking messages. The notification icon
remains on top of the screen until you listen to
the message
• When only the voicemail message icon
appears on top of the screen, select
Voicemailand follow the system prompts
to retrieve the message.
