I have downloaded several manuals for the Avaya by searching online, some are good basic user guides and some very technical. You can pick up a call in several different ways - here is a copy from the manual on call pick ups:
2.2.2 Call Pickup
If you hear another phone ringing, there are a number of ways that you can answer the call if you know the user, group
or line being called.
1.If already on a call, end the call by pressing Drop or put it on hold by either pressing Hold or pressing the
button which the call is on.
2.Press an idle Intercom or Call Appearance button.
· To pickup a call ringing at a particular extension:
Dial 6 followed by the extension number at which the call is ringing or parked.
· To pickup the longest waiting call in a pickup group:
Dial 66 followed by the pickup group number (1 to 4).
· To pickup the call ringing on a particular line:
Dial 68 followed by the two digit line number.
3. You can continue the call handsfree or switch to using the handset or headset (press the HEADSET button).
To Create a Call Pickup Button (ETR 18D/ETR 34D Phone)
1.At the phone press Feature 00.
2.Program Extension: is shown on the display.
3.Press the button that you want to edit or enter a number between 03 to 80 to select a button. The current setting
of the button is displayed.
4.Press the first intercom or call appearance button.
5.Dial 6 followed by the target extension number.
6.The button function is changed to Call Pickup followed by the target extension number.
· Exit programming by pressing Feature 00. You can also exit programming mode by lifting the handset, then
placing it back in the cradle.
To Use a Call Pickup Button
1.Press the Call Pickup programmed button
Either your fax machine is set to answer on more rings then your answering machine is or you dont have the automatic answer key pushed?
Determine how many rings your answering machine picks up on and then change the number of rings to a lower amount on your fax machine. To change the number of rings before picking up the line, press the "menu" key on the fax machine and use the up and down arrows to scroll until you find the "basic fax set up" or the "advanced set up" areas. I am not sure which one will have the number of rings setting. Try looking in both until you find it.
when you see it press "ok" or "enter" get in and change the amount of rings before answering. call your fax machine to make sure it picks up before your answering machine.
On the printer panel, press Fax mode > press Menu button > using the arrows, choose Fax Setup, hit check > using the arrows, choose Ringing and Answering, hit check > using the arrows, choose Pick Up On, hit check > choose preferred number of rings, hit check to save the setting.

your machine should have a setting that will allow you to set the number of rings before the answering machine picks up the phone. Default is often set at 3 or 5 rings.
The easiest thing to do is use Direct Pickup Feature.
When the phone is ringing dial Feature 76
Dial internal number of a phone that is ringing (also refered as extension number)
You just answered a ringing phone at your desk.
If you have login information for Feature **config, I can help you set up your phone to be ringing as well.
Firstly, you have to know the extensions that you want in this Pick-up Group.
Eg: 227,234,+239 all want to be in the same pick up group.
To get into programming press: -> FEATURE 2 6 6 3 4 4 -> Password: 2 6 6 3 4 4 Now you will have to look at your LCD for 3 arrows <- Heading....Enter-> <- Back .......Next-> -> you will now see TERMINALS&SETS and press Enter (the top right arrow key) now put in the extn that you want to change (Eg. 227). -> you should now see the extension number 227: NAME, press Enter (the top right arrow key) again
-> you will now see Line access press NEXT
-> you will now see CAPABILITIES and Enter
-> now keep hitting NEXT till you see PICKUP GROUP:__ and CHANGE this to say 7
-> hit NEXT to save this change, then the HEADING button twice till you see the beginning of this menu eg 227: NAME
-> press Find and type in Ex.234 and follow same steps above to put this person in pickup group 7
-> and once again for Ex.239
After all the sets are now in the same pickup group 7, if anyone's set is ringing, dialing FEATURE 7 5 will answer the calls ringing in the group.
Once pressing the F75, whatever call was ringing the longest will be answered first... for your knowledge.
Not too sure if you really need that dial 0 point, since the calls are already ringing in on the receptionist desk.
You can create changes and make a hunt group, with an over flow with another hunt group, which will rings specific people, and if there is no answer the over flow can go to a voicemail or auto attendant... more programming than I would like to type.
Simple solution: Make sure that everyone that you want to answer the calls, they are in the same pick up group.
Then if the people that you want to answer hears the phone ringing, they just have to dial Feature 75, this is group pickup.
To find out if the people are in the same pick up group:
-> go into the system programming
-> TERMINALS&SETS and enter the extension
-> find CAPABILITIES and enter
-> hit next till you find Pickup grp: this will have a number and ensure that all the sets you want have this same number.
-> rls to back out of programming.
This way anyone that hears the phone ringing can answer anytime they want.
Ascertain from your system administrator the directed call pickup feature access code, this will allow you to pickup any ringing call as long as you know what ext number is ringing.
